A leading Managed Print Services (MPS) dealer handled hundreds of supply orders every day through automated device alerts, customer emails, and other order channels. As order volumes increased, managing procurement manually became more difficult, slowing down operations and making it harder to scale efficiently.
The Challenge
Every order had to go through multiple steps, from validation and vendor selection to purchase order creation, shipment tracking, invoicing, and customer billing. Since these tasks were spread across different systems, teams spent a lot of time on manual processing. This not only delayed order fulfillment but also increased the chances of errors.
The Solution
Avanue streamlined the entire procurement process by combining Device Connectivity Automation (DCA), PO Processor, and EDI Integration into a single workflow. Supply alerts from platforms like EKM, MPS Monitor, and VCare were automatically converted into sales orders, while email orders were captured and processed without manual effort. The system selected the right vendor based on predefined rules, generated purchase orders in SAP Business One, and sent them electronically through EDI. From shipment updates and goods receipt to supplier invoices and customer billing, the entire process was automated, reducing manual intervention at every stage.
The Results
With an automated, end-to-end procurement workflow in place, the dealer transformed the way orders were processed. Around 85% of the order lifecycle was automated, significantly reducing manual work and improving accuracy. Orders were fulfilled faster, vendor communication became seamless, and operations teams could focus on exceptions instead of routine tasks. The result was a faster, more reliable purchasing process that could easily support growing order volumes.
